Purchase Order Requirement

Invoices that do not quote a DTF Shared Services purchase order number will be returned to the supplier UNPROCESSED until a purchase order number is provided.

Why has this been introduced?

The Oracle procure to pay solution provides business support processes that modernise and automate the purchasing process resulting in a range of efficiencies such as centralised invoice handling and payment. DTF Shared Services cannot continue to accept invoices without purchase order numbers as this requires manual verification and approval processes, all of which reduce the expected system efficiencies. This change will ensure that payment services are more effective and efficient.

How does this affect me?

DTF Shared Services will no longer accept any invoices received from suppliers that do not quote a purchase order number. This means that your invoices will be returned unprocessed until a valid purchase order number is quoted.

How does this benefit me?

Obtaining a purchase order and sending your invoice directly to Shared Services will benefit your company in the following ways.

  • More timely payments
  • Easier invoice tracking
  • One central contact point
  • Access to future system enhancement such as iSupplier.

What do I need to do?

When government buyers request goods and/or services, verify whether the purchase will be made via purchase order or corporate credit card. These are the only two ways to procure goods or services.

  1. Purchasing Card If the purchase is made using a corporate credit card, then send all relevant documentation to the buyer. Do not send any documentation to DTF Shared Services. DTF Shared Services is not involved in this process.
  2. Purchase Order . If the purchase is going to be via a purchase order, then you must ensure that;
    • The purchase order number is quoted in the invoice.
    • Invoices with quoted purchase number are sent directly to DTF Shared Services.
